Overbooking means selling the same room or property twice for the same dates. In Moroccan hotels, riads and short-term rentals it usually happens when several channels sell in parallel — Booking.com, Airbnb, Expedia, agencies, phone and WhatsApp — without one central availability source connecting them in real time.
It is not a high-season fatality. It is an organisational problem that can be solved with a central calendar, channel synchronisation and a few team rules.
Why overbooking happens
Most of the time availability is updated by hand: a phone booking is written in a notebook and someone must remember to close the date on every platform. In the meantime, another guest books.
- Direct and phone bookings entered late
- iCal calendar sync with a delay between platforms
- Several people editing the calendar without shared rules
- Maintenance or owner blocks forgotten on one channel
A 6-step method to eliminate it
These steps work for a 40-room hotel as well as a 6-room riad or a villa portfolio.
- 1. Make the PMS calendar the only source of availability
- 2. Connect OTAs through a Channel Manager rather than iCal where possible
- 3. Enter every direct booking in the calendar immediately
- 4. Block maintenance and owner dates in the calendar
- 5. Define who can change availability and keep a change history
- 6. Review the next 7 days of arrivals and flagged conflicts every morning
The role of the PMS and Channel Manager
The PMS centralises every reservation and refuses impossible room assignments. The Channel Manager then pushes availability to every channel: once a room is sold anywhere, it closes everywhere.
Welcomax combines both — Hotel PMS for hotels and riads, Rental PMS for villas and apartments — with an integrated Channel Manager and live availability when a booking is created.
